B-Admin-Time

Session Templates and Automated Scheduling in a Sports Group

Adam ·
Otwarty kalendarz miesięczny na biurku

Manually creating a session every week — same court, same hours, same player limit — is fine once, but tiring forever. B-Admin-Time has three separate, complementary automations for exactly this problem.

Recurring rules — sessions create themselves

The admin sets the venue, day of the week, court/hour configuration, and a date range — and from that point on, the app creates upcoming sessions automatically every week according to the rule, including standing reservations for chosen players. If the group's plan has a session-count limit, the rule respects it and won't create more than allowed instead of silently going over.

Session templates — the same court layout, one click

When the schedule isn't fully fixed but the court/hour layout repeats, a session template lets you recreate the whole configuration when creating a new, one-off session — without manually re-entering the same data every time. Unlike a recurring rule, a template doesn't create anything on its own — it's a shortcut for manual session creation, not an automation.

Scheduled publishing — sign-ups open when you want

A session can exist as a draft and automatically become visible and open for sign-ups at a specific moment — by default 7 days before the session for sessions created by a recurring rule, or at any other time the admin sets. This way sign-ups open whenever the group agrees on (e.g. Monday evening for a Thursday session), not the instant the session gets created in the background.

“From the organiser’s point of view, the big change is being able to create recurring games and set a schedule for opening sign-ups. That way you don’t have to remember to open each round of sign-ups by hand.” — Renata, admin of a group of about 40 players that has been using B-Admin-Time for over 2 months

Frequently asked questions

What happens if the plan's session limit runs out?

The recurring rule stops creating further sessions and the group gets notified — the limit is never silently exceeded.

Do I have to manually publish every session from a recurring rule?

No — by default such a session publishes automatically 7 days before its date, but the admin can set a different publish day and time.

On which plan are recurring rules, templates, and scheduled publishing available?

All three are available from the Regular plan up — on Lite, sessions are created manually.
